Practice Supervisor - Ossipee Family Medicine (Finance)



Under the general supervision of the Practice Director(s), is responsible for ensuring the highest level of practice operations, in one or more practices, by coordinating staffing, enforcing policies and procedures, and supervising staff.

Services, Quality Improvement & Risk Management:

• Responds to and resolves patients' issues in a timely, professional, and kind manner. Escalates necessary patient issues to the Practice Director(s) and the Manager of Patient Experience

• In collaboration with the practice employees and Providers, ensures that the highest level of customer service is provided to both internal and external customers. Works collaboratively with all Hospital departments to ensure the best experience for all internal and external customers

• Creates a positive and team oriented environment for all staff in which employees feel a sense of belonging

• Coordinates the daily work of team members to ensure policy compliance, smooth technical operations, quality management, and customer satisfaction. Strategizes with Practice Director(s) and Providers about improvement opportunities and solutions

• Ensures compliance with all established Hospital policies and procedures, and regulatory standards

• Supports organizational efforts of provider schedule utilization

Operation, Technology & Facility:

• Ensures the office is clean, orderly, attractive, and professional in terms of the physical space

• Ensures all equipment, office supplies, computer systems and applications, and facilities are adequate and functioning properly. Quickly coordinates repairs as needed and in accordance to the budgeting process

• Seeks ways to continually develop professional and supervisory skills

Financial Management, Planning & Reporting:

• Orders administrative supplies as necessary and in accordance to budget

• Coordinates the purchase of equipment, supplies, and services required by the practice(s) as directed

• Processes payroll for assigned practice(s)

• Monitors and processes invoices ensuring the practice(s) is operating within budget

• Assists with implementation of operational goals

• In collaboration with the Practice Director(s), providing regular and ad hoc statistical reports or other data relative to practice operations to the team

• In collaboration with the Practice Director(s) in the preparation of practice(s') budget(s)

• In collaboration with the Revenue Cycle Team, Ensures daily activities of billing and collection are timely, accurate and in compliance with organization policies

Staffing Coordination & Human Resources:

• Satisfactorily all duties of their role within the scope of their licensure or education.

• Collaborates with Patient Access and Revenue Cycle Leadership to understand key components of the Patice Access Coordinator role, workflow processes, and revenue cycle implications.

• Provides support and assistance to the Practice Director(s) and manages the daily operations and resources of the practice staff at assigned practice(s)

• Assigns responsibilities and develops schedules for staffing to optimize practice performance

• Communicates organizational information to department staff as directed by Practice Director(s) through daily huddles and communicates issues/opportunities from staff back up to Practice Director(s)

• Responsible for routine practice staff and Provider scheduling, to include applicable call schedules. Works in conjunction with the Practice Director(s to schedule float Physicians, Providers, and practice staff as needed

• Delegates and monitors appropriate tasks to staff as needed

• Keeps Practice Director(s) informed of and involves Practice Director(s) in conflict resolution with staff as necessary

• Promotes and facilitates problem solving and issue resolution with staff regarding concerns and conflicts in the office

• Supports Practice Director with for performance reviews, development plans, training, and performance improvement including

coaching and accountability conversations of designated staff

• Identifies staffing needs and participates in hiring process, in conjunction with the Practice Director(s) and Human Resources

• Actively participates in all hospital Service Excellence initiatives and trainings

• Attends and participates in a minimum of 50% department staff meetings and signs off on review of 100% department staff meeting minutes

• Completes all required annual education on or before the due date

Knowledge Skills and Abilities: Individuals must possess these knowledge, skills, and abilities or be able to explain and demonstrate that they can perform the primary functions of the job, with or without a reasonable accommodation, using some combination of skills and abilities and possess the necessary physical requirements, with or without a reasonable accommodation, to safely perform the essential functions of the job.

• Minimal physical effort required with occasional light lifting to a maximum of 25 pounds; stooping; and pick, pinch, type, or otherwise work primarily with fingers

• Ability to effectively manage considerable mental stress

• Ability to express or exchange ideas by means of the spoken word

• Ability to receive detailed information through oral communication

• Ability to communicate effectively with co-workers and convey information in a clear, concise and accurate manner

• Familiarity with computer and other business machines

Qualifications:

Experience: Two years in the medical office and prior supervisory experience required

License and Certification: BLS, NH Iicensure applicable to clinical position Apply
