DC Supplies Administrator – Distribution Center (Finance)



JOB DESCRIPTION:

GENERAL NATURE OF POSITION:

The Distribution Center Supplies Administrator will work closely with the DC Supplies Manager and team in the performance of a wide range of administrative and operational tasks. The Office Administrator will be responsible for supply accuracy and ordering working with the Business Analysts. Develop and maintain productive, effective, and professional relationships with peers, superiors, auditors, and others. Always represent the company in a positive and supportive manner.

ESSENTIAL FUNCTIONS:

This role is responsible for maintaining accurate inventory of shipping and office supplies for two Deckers Distribution Center, ensuring consistent availability to support daily operations. It involves delivering exceptional service to internal departments by promptly fulfilling supply requests and clearly communicating order timelines and procedures. The individual will monitor stock levels and place timely orders to prevent shortages, while also conducting regular audits. Responsibilities also include, but are not limited to, vendor setup, processing vendor invoices, managing credits and accruals, and ensuring accuracy for timely financial reconciliation. Collaboration with Accounts Payable, vendors, and internal teams is essential to efficiently resolve inbound order issues. The role also supports the Procurement team with month-end close activities to ensure accurate cost recognition and timely financial reporting. This position plays a vital role in maintaining operational efficiency and driving continuous improvement across administrative and procurement functions.

% OF TIME ESSENTIAL JOB FUNCTIONS:

30% Supports the DC Supplies Manager with administrative duties.

20% Maintains excellent service standards to other departments within the organization

25% Interfaces with procurement team, vendors, and operations team by phone and email. Ensures all DC-Customer Support emails are responded to daily.

5%Creates and runs ad hock reports as needed

20%

Research issues and maintains procurement trackers, invoices and PO's.

QUALIFICATIONS:

Education/Certifications:

Associates Degree or Equivalent experience.

2-4 years related experience.

Work Experience:

Experience working in a warehouse environment and knowledge of typing, word processing, and Excel applications. Attention to detail and accuracy.

• Highly motivated, a team player and motivated self-starter

• Experience using a WMS (Warehouse Management System) or an Oracle WMS is a plus

• Must be able to use calculations such as discounts, interest, commissions, proportions, and percentages as well as know basic algebra.

• Knowledge of warehouse related software.
