Program Planner Analyst (Finance)

Scheduling:

• This position will be hybrid allowing for both a remote and in-person work schedule; depending on demand.
• A flexible work schedule during major USF Health events, which might include early morning and/or late evenings.

Minimum Qualifications:

This position requires a Bachelor's degree in a field directly related to the program responsibilities and two years of professional experience; or Master's degree in an area of specialization appropriate for the program.

SB 1310: Substitution of Work Experience for Postsecondary Education Requirements

• Four years of direct experience may substitute for a Bachelor's degree
• Six years of direct experience may substitute for a Master's degree

• Supporting curriculum development, evaluating quality and methods of existing programs, researching and recommending new programs
• Schedules, arranges, and prioritizes meetings and events; providing support as needed.
• Compose documents, create reports and prepare presentation materials to include research, compiling data, drafting content, editing and distribution.
• Serving as a liaison between departments and other academic programs
• Assist with grant research and submission
• Responsible for compliance and interpretation of Policy, Procedures and guidelines related to CE Credit
• Manage and maintain box folders/ project management file for each assigned activity.
• This is an ongoing process to capture and provide all logistical information for each IPEP events including location, planning documents, meeting minutes, marketing/flyers, speak information, budget sheets, CEU documents. Coordinator will maintain the box folder throughout the entirety of the activity, from execution through to the final invoicing stage.
• Responsible for creating and managing a USF Health Wide IPEP Calendar of Events

Coordination

• Responsible for the coordination, planning, and implementing interprofessional activities at USF Health within the established timeline.
• Ensure operational effectiveness through communication with key internal stakeholders.
• Lead pre activity calls to review activity contracts and logistical needs. Attend conference calls and in-person meetings with other USF Health stakeholders to assist with IPEP event planning.
• Schedule outside vendors for all event needs that fall outside USF Health inventory or scope; maintain consistent communication with all outside vendors and exhibitors contracted for and attending the activity.
• Direct the coordination of all onsite arrangements including AV, room setups, catering, vendor setup time, housekeeping, shipping and receiving, etc.

Marketing and Communications

• Assist with planning, Designing and implementing promotional/marketing materials to create effective advertisements.
• Collaborate with USF Health Marketing and Communication team to promote interprofessional activities through flyers, emails, website and social media accounts providing them activity information and developing a plan of action.
• Manage Office of IPEP Social Media (Facebook and Instagram)
• Maintain Office of IPEP Website, ensure all information is up to date

Financial Accountability

• Maintain responsibility for financial aspects surrounding an activity from proposal to payment.
• Track and record all course expenses and incoming revenue per executed proposal.
• Compile invoices from all vendors, review their accuracy, seeks approval/signature from manager and submit executed invoices to accounting for payment.
• Develop and maintain a detailed event budget including all course expenses and incoming revenue.
• Submit honoraria requests for event speakers
• Assist in the creation of statistical data, projections and reports
