Legal Assistant - General Counsel (Finance)

Job Summary

Supports the Office of the General Counsel with daily office operations. Drafts routine correspondence, maintains and updates departmental documents and spreadsheets, processes incoming and outgoing mail, and orders office supplies. Establishes and maintains department filing system, including online contract management system. Coordinates committee meeting logistics, attends meetings, and prepares meeting minutes. Assists the paralegals and attorneys with requests for records, routine legal processes, and requests for subrogation information.

Education & Experience

Required:

• Associate degree (or higher) in legal studies or equivalent work experience
• U.S. Citizen
• Must be able to receive a favorable Interim and adjudicated final Department of Defense (DoD) background investigation
• 2+ years' experience in a corporate law department, law firm, or compliance
• Proficient with Microsoft Office applications, including Excel, Word, Power Point

Preferred:

• Bachelor's degree
• Experience with legal tracking and reporting tools
• Experience healthcare or Managed Care
• Knowledge of Military organization
• Contract Lifecycle Management System experience

Key Responsibilities

• Demonstrates positive customer relations skills in dealing with the attorneys, paralegals, TriWest staff, providers, beneficiaries, subcontractors, and other entities.
• Provides administrative support for the Office of the General Counsel.
• Processes routine paperwork received by Office of General Counsel, seeking follow-up from other departments and ensuring timely responses to a court, attorney's office, government agency or other parties; and escalating for Attorney review as necessary.
• Provides paraprofessional and administrative duties for the Legal Department with a high degree of accuracy, confidentiality, discretion and independent judgment.
• Performs administrative support duties including coordination or execution of special projects, handling of phone calls, calendar management, coordinating meetings/conferences, onboarding new employees, maintenance of legal matter management, e-billing and analytics tools, creating and socializing meeting agendas, manage department invoices, record management, maintaining the legal mailbox preparing meeting minutes, drafting routine correspondence, updating departmental documents, and copying, faxing and scanning documents.

• Receives and date stamps all incoming Office of General Counsel correspondence on the date it is received and forwards mail to the appropriate person for handling.
• Maintains legal filing system, including working and contract files and an online contract management system.
• Assists with requests for records and requests for subrogation information, department, and similar routine legal processes.
• Maintains the daily Outlook calendar for staff attorneys, including coordinating and scheduling meetings with multiple TriWest employees and third parties.
• Assists the attorneys and paralegals with special projects.
• Performs other duties as assigned.
• Regular and reliable attendance is required.

Technical Skills: Proficient with Project, Excel, Word, Power Point, Access, Visio; ability to maintain the confidentiality of information with tact and discretion.

Working Conditions

Working Conditions:

• Availability to cover any work shift
• Works within a standard office environment, with minimal travel
• Extensive computer work with prolonged periods of sitting

TriWest job postings typically include a salary range, which can vary based on the specific role and location, but generally this position ranges from around $59,000 to $62,000 per year.
