GPI Geospatial is seekinga Full-Time Administrative Assistant at our Doral, FL location. Our ideal candidate is self-motivated and well-mannered with the ability to interact and communicate effectively with clients, vendors, and colleagues. Must be able to work Monday Friday from 9:00 A.M. to 5:00 P.M. The Administrative Assistant efficiently handles a variety of tasks that assist all departments within our company. Responsibilities:
Manage accounts payable, accounts receivable, and general accounting functionsSupport vehicle fleet operations, including lease management, risk and maintenance oversight, and administration of the fuel card programPrepare and distribute routine management reports, as well as reports requested by leadershipOversee the purchasing, inventory control, and distribution of personal protective equipment (PPE) for field staff to ensure compliance with safety requirementsAssist the Survey department with lease management, equipment coordination, and collaboration with Survey leadershipReview and process employee timesheets and expense reportsProvide support to the accounting department as neededCoordinate pre-qualification documentation and annual portal renewals with Ariba, Avetta, ISNet, NCDOT, FDOT, MDAD, and other agenciesPrepare and process client invoices in accordance with contract terms, client specifications, and company procedures to ensure timely billing and revenue recognitionaintain project records, including ordering Certificates of Insurance in accordance with contract requirements and maintain related compliance documentation.
Qualifications:
High School Diploma or GEI required (College is a plus)Experience in Administrative and Accounting tasksProficiency in Microsoft Outlook, Word, Excel, and PowerPoint; familiarity with Deltek Vantagepoint is a plusHighly detail-oriented with strong organizational skills and the ability to prioritize multiple tasks under tight deadlinesDemonstrate ability to adapt to change with a positive attitude while maintaining productivity and focusStrong analytical and problem-solving abilities with a focus on accuracy and efficiencyAbility to collaborate with cross-functional teams and interact confidently with clients, peers, and senior management
