Job Summary

This position ensures organizational compliance with tax, licensing, and regulatory requirements across multiple jurisdictions. The role is responsible for the timely preparation, submission, and management of related filings and inspections.

Tax and License Administrator

$65,000-$75,000 DOE

Monday-Friday

Essential Functions

Tax & Licensing Compliance

  • Maintain and file Business and Unsecured Personal Property Declarations and Annual Tax Bills.

  • Oversee Secured Property Tax Billing and Payments, including processing wire transfers.

  • Renew and maintain business licenses for all branches.

  • Prepare and submit Annual Net Profit License Fee Returns and other jurisdictional reports.

  • Complete Monthly and Annual U.S. Census Bureau reports.

Environmental & Regulatory Reporting

  • Serve as subject matter expert for environmental and facility compliance systems (e.g., CERS, EVQ, CARB).

  • Ensure compliance with local Metropolitan Sewer District (MSD) requirements.

  • Respond to government inspections (e.g., Fire, DOT, Occupancy).

Facility & Operational Support

  • Coordinate on-site services such as mail delivery, water, elevator maintenance, and fire inspections.

  • Collaborate with the Fleet Administrator to ensure continuity in compliance-related activities and serve as a backup when needed.

  • Cross-train on vehicle-related reporting and licensing duties.

Qualifications

  • Strong organizational, analytical, and time management skills.

  • Familiarity with tax filings and business licensing is preferred.

  • Ability to handle sensitive and confidential information with discretion.

  • Effective communication and collaboration skills.

  • Proficiency in Microsoft Office Suite.

  • Associate's degree or equivalent experience required.

Requirements

  • Ability to work both independently and collaboratively in a fast-paced environment.

  • Strong attention to detail, accuracy, and accountability.

  • On-site role, Monday–Friday, 7:00 AM – 5:00 PM (occasional flexibility may be required).

Work Environment/Physical Demands

Office-based with occasional lifting (up to 20 lbs). May involve responding to inspections or audits on-site.
