Expert Know How/Knowledge:

  • Strong organizational and customer service skills
  • Communication skills to interact professionally with other parties
  • Ability to work collaboratively
  • Self-starter with the ability to work through ambiguity
  • Observes safety and security procedures; Uses equipment and materials properly
  • Experience in research environment would be preferred but is not mandatory
  • Experience in startup situations would be preferred but is not mandatory
  • Minimum 2-3 years of job experience in office environments
  • MS Project
  • MS Office Suite

Expected (Educational) Qualifications:
  • Bachelor's degree in technical or business studies or equivalent experience preferred
OVERALL POSITION PURPOSE:

Provide comprehensive administrative and coordination support to the project team, ensuring the smooth and efficient functioning of project activities and ultimately contributing to successful project delivery.

CORE TASKS:

  1. Facilitating project objectives and their KPI's
  2. Creation of NCR's
  3. Maintenance of tracking tool for change orders
  4. Warranty turnover support - initial request and documentation
  5. Efficiently identifying and solving project issues as required
  6. Maintains technical project documentation
  7. Works with internal counterparts
  8. Processes purchase requests orders through SAP
  9. Conducts weekly accounts payable/ receivable meetings with PM's as required
  10. Payment Applications
  • Coordination with SOV's and end user
  • Textura support
  • Certified Payroll tracking
  • Waivers
  • Coordination of payment receipts
  • Managing office supplies
  • Coordination meetings on different topics
    • AUX
    • Cash
    • EHS
  • Submitting invoices to AP for processing
  • Support with visits and events
  • Quarterly audits to support yearly outcome
  • Assistance with Sales department on preparation of bids
  • Knowledge of SAP different modules
