Senior Administrative Assistant (Finance)



The Cigna Group is looking for a proactive, detail-oriented individual to join our organization. The Senior Administrative Assistant will provide administrative support for the Accounting Operations and US Healthcare Accounting Officer organization acting as a trusted resource and professional problem solver. In addition to foundational administrative tasks, this role will be responsible for running point on cross team initiatives to support senior leaders and ad hoc requests.

Description:

  • The majority of duties for this role are high-level administrative tasks- calendar management, meeting management, travel and expense management and staff support. In addition, the individual in this role will support ad-hoc projects and perform scheduling, planning / coordination of events and meetings.
  • Perform diversified and confidential administrative duties for department head and senior leadership as assigned, utilizing broad and comprehensive experience, skill and knowledge of organization policies and practices.
  • Build effective relationships and work closely with internal partners to perform key tasks. This includes peer administrative and executive assistants, Executive IT support, corporate internal communications, corporate travel/aviation etc.
  • This individual must demonstrate the ability to respond to changing situations in a flexible manner in order to meet current needs, such as reprioritizing work and / or seeking assistance. The position requires excellent communication skills and the ability to work in a fast-paced environment with strong attention to detail.
  • This role will provide varying levels of support to four senior-level leaders in Accounting Operations and provide site support for team members in the Bloomfield, CT location.

Responsibilities:

  • Deliver superb calendar management.Execute complex coordination with the ability to schedule meetings with speed, accuracy and efficiency. Make last-minute calendaring decisions based on priority and business needs using sound judgment.Advise of last-minute scheduling changes and communicate via email, telephone and/or text message when appropriate.
  • Schedule webinars, ensuring that all logistics are handled timely and accurately.
  • Plan and execute onsite and offsite meetings including communication, travel logistics and hospitality.
  • Maintain department org charts and email distributions.
  • Assume delegate responsibilities for the coordination of travel itineraries and submit expense reports for all travel & expenses in a timely and accurate manner.
  • Secure help desk support as needed to troubleshoot and resolve computer / phone / printer issues, order equipment and supplies for department using the portal supply system.
  • Work closely with internal partners including administrative peers, executive assistants and IT support.
  • Plan and coordinate on-boarding and off-boarding of employees / contractors.
  • Other duties and special projects as assigned.
  • Work requires initiative and judgment in making decisions which requires knowledge of department as well as company policies and procedures.
  • Order equipment and supplies using the portal supply system.
  • Manage department space planning in conjunction with office Real Estate team.

Qualifications:

  • 8+ years of progressively responsible administrative, executive assistant, or project management experience.
  • Flexible and reliable
  • Schedule and organize meetings including Webex and conference calls to be hosted by principal, and/or direct reports (i.e., booking training rooms, posting materials to Sharepoint, send pre-reads to participants) as required.
  • Can work independently, exhibit sound judgement, and maintain confidential information.
  • Strong organizational skills with the ability to work in a high-paced environment and manage multiple tasks.
  • Ability to anticipate issues, identifying potential problems and working to proactively prevent from developing and managing to the references of the leaders support.
  • Expert level verbal and written communication skills.
  • Experience managing calendars, inclusive of setting up smaller to larger meetings with multiple cross enterprise teams. Outlook preferred. Experience using meeting platforms i.e. WebEx
  • Demonstrate flexibility to not only support direct leaders, but also other team members as required.
  • Ability to work in a virtual workforce and team environment. Builds effective networks and relationships to best support leader and perform role.
  • Proficient in Microsoft applications - Word, Outlook, PowerPoint and Excel with a willingness to learn advanced skills as appropriate.
  • Ability to troubleshoot technology issues in partnership with Technology partners.
